Our Privacy Policy ("Privacy Policy") is designed to help you understand how we collect, use, and safeguard the information you provide to us and to assist you in making informed decisions when using our Service.

For purposes of this Agreement, "Site" refers to the Company's website, which can be accessed at https://voiceboard.ai or through our web application. "Service" refers to the Company's services accessed via the Site, in which users can create surveys and receive feedback, as well as manage personalized development plans.

The terms "we," "us," and "our" refer to the Company. "You" refers to you, as a user of our Site or our Service.

By accessing our Site or our Service, you accept our Privacy Policy and Terms of Use, and you consent to our collection, storage, use, and disclosure of your Personal Information as described in this Privacy Policy.

I. Information We Collect

We collect "Non-Personal Information" and "Personal Information." Non-Personal Information includes information that cannot be used to personally identify you, such as anonymous usage data, general demographic information we may collect, referring/exit pages and URLs, platform types, preferences you submit, preferences generated based on the data you submit, and number of clicks. Personal Information includes your email address, name, job title, and other information related to surveys you create or respond to, as detailed below.

1. Information collected via Technology

To activate the Service, you need to submit Personal Information, including your email address, name, and job title. Additionally:

• When creating surveys, users may input the names and email addresses of survey respondents as part of the feedback process.
• Respondents completing surveys may enter Personal Information about themselves or others, including opinions, comments, and feedback relevant to the survey.

2. Information you provide us by registering for an account

In addition to the information provided automatically by your browser when you visit the Site, to become a subscriber to the Service, you will need to create a personal profile. You can create a profile by registering with the Service and entering your email address and name. By registering, you are authorizing us to collect, store, and use your email address, name, and job title in accordance with this Privacy Policy.

3. Information provided by survey respondents

Survey respondents are not required to register for the Service. Respondents receive a unique link to complete surveys. By completing a survey, respondents consent to the collection, storage, and use of the information they provide, including any Personal Information about themselves or others, as described in this Privacy Policy.

4. Children's Privacy

The Site and the Service are not directed to anyone under the age of 13. The Site does not knowingly collect or solicit information from anyone under the age of 13 or allow anyone under the age of 13 to sign up for the Service. In the event that we learn that we have gathered personal information from anyone under the age of 13 without the consent of a parent or guardian, we will delete that information as soon as possible.

II. How We Use and Share Information

Personal Information

Except as otherwise stated in this Privacy Policy, we do not sell, trade, rent, or otherwise share for marketing purposes your Personal Information with third parties without your consent. We do share Personal Information with vendors who are performing services for the Company, such as the servers for our email communications, who are provided access to user's email address for purposes of sending emails from us.

III. How We Protect Information

We implement security measures designed to protect your information from unauthorized access. Your account is protected by your account password, and we urge you to take steps to keep your personal information safe by not disclosing your password and by logging out of your account after each use.

IV. Data Retention

We retain Personal Information for as long as your account is active or as needed to provide you the Service, comply with our legal obligations, resolve disputes, and enforce our agreements. Survey content and responses are retained according to the needs and settings of the survey creator's workspace. When you use a connected third-party application to start creating a survey, the temporary link we generate and the prefilled survey details it contains are stored for up to 7 days, after which they are automatically deleted. When Personal Information is no longer required, we delete or anonymize it.

V. Integrations and Connected Applications

The Service may be used together with third-party applications and AI assistants (for example, Claude or ChatGPT) that you choose to connect. When you connect such an application, you authorize it—through a secure OAuth sign-in—to act on your behalf to start creating a survey in Voiceboard. In this flow:

• The connected application transmits to us only the survey details you provide in your request, such as the survey title, goals, and themes.
• We associate the request with your Voiceboard user account and generate a secure link that opens in Voiceboard so you can review, edit, and save the survey. Nothing is created or published until you take action in Voiceboard.
• We do not access, request, or store your conversation history, uploaded files, or other data held by the third-party AI provider beyond the information you supply in your request.
• We store the generated link and its prefilled details only temporarily, as described in "Data Retention" above.

Your use of a connected third-party application is also governed by that provider's own terms and privacy policy. You can disconnect an integration at any time through the third-party application's settings.
